The Aland Foundation Limited (ABN 31 675 870 434) and its related entities (‘we, ‘us’, ‘our’, and ‘Foundation’) are committed to protecting your personal information.
This privacy policy sets out and describes how we handle your personal information. Please read it carefully.
From time to time, we may revise this privacy policy by publishing a revised version on our website. The revised privacy policy will take effect from the time it is published.
- Purpose
The Foundation values privacy and transparency and is committed to collecting, using, disclosing, storing, handling, and protecting your personal information in accordance with the Privacy Act 1988 (Cth) (the Act) and the Australian Privacy Principles (APPs) (the ‘Act’ and the ‘APPs’ together, the ‘Privacy Laws’). This privacy policy outlines how we will comply with the applicable standards, the Privacy Laws and other applicable Australian laws.
- Definitions
The following terms have the following meanings where they are used throughout this privacy policy.
Personal Information means any information or opinion that can identify or be used to identify as an individual as defined in the Act.
The Foundation collects Personal Information about you where it is reasonably necessary for us to perform one or more of our functions or activities.
Sensitive Information means a subset of Personal Information and includes information or an opinion about an individual’s health (being any personal information about an individual’s health or disability, racial or ethnic origin, political opinion, religious beliefs, philosophical beliefs, sexual orientation, criminal record, financial details or genetic information.

- Collection of Personal Information
At most times and where it is reasonable and practicable to do so, we will collect Personal Information directly from individuals, and that Personal Information may include Sensitive Information.
From time to time, Personal Information may be obtained by us from third parties, such as third party partners, our donors, supporters, volunteers, contractors, and visitors to our field programs, and other individuals for various businesses and for other purposes further set out below. The Foundation will take reasonably practicable steps at or before the time of collection (or as soon as practicable after collection) to notify the individuals, or otherwise, to ensure that they are aware, that Personal Information has been collected and the circumstances of the collection, in accordance with all relevant Privacy Laws in Australia.
The types of Personal Information that the Foundation will collect from you depends on the circumstances in which that information is collected. Such information may include:
- contact details (i.e. your name, address, email, phone and facsimile details);
- information about your employment (e.g. place of work, position, authority to transact with us, etc.);
- information which may be required as part of a recruitment process;
- statistical information regarding the use our website/s;
- sensitive Information which may be provided to us from time to time; and
- financial information and statistics, including, bank account or credit card details needed to process donations or make payments to suppliers and partners, details of donations made and information regarding your potential capacity to donate (categorised in high-level bands and based on publicly available information only).
If you do not provide us with the information we request, we may not be able to fulfil the applicable purpose of collection, such as to receive your donation.
Individuals may request to deal with The Foundation anonymously or through a pseudonym. The Foundation will endeavour to accommodate your request if it is lawful, possible and practical to do so.
- Sensitive Information and Personal Information
By providing Personal/Sensitive Information to the Foundation, an individual consents to the Foundation collecting this information and using and disclosing it for the purposes set out in this Privacy Policy.
The purposes and uses of collection Personal Information or Sensitive Information may include:
- processing donations;
- communicating with partner organisations, donors, and supporters, as applicable and appropriate in any given case;
- recruiting staff, contractors, or volunteers;
- managing staff;
- conducting marketing activities;
- monitoring and evaluating programs;
- conducting research and evaluation; and
- enabling other activities and functions of the Foundation.
The Foundation may use your Personal Information for the purposes of direct marketing. The Foundation from time to time, offer telemarketing communications where we have received your consent or we are permitted by law to do so. If at anytime you do not wish to receive any direct marketing messages or communications from the Foundation, please contact us at info@alandfoundation.com.au to make such a request. Please allow us a time of up to 7 days to process such a request.
If there is a need to use Personal Information for any other purpose not set out in this Privacy Policy, The Foundation will only use Personal Information for a purpose other than for which it was collected or a related purpose if you have consented to such different use or where The Foundation may otherwise be reasonably expected to do so.
The Foundation does not sell Personal Information to third parties and, except as provided for in this Privacy Policy, does not make Personal Information available to third parties.
- Retention, protection and Storage of Information
The Foundation will only keep Personal/Sensitive Information for as long as it is needed for any purpose for which it was collected, or otherwise if it is a part of a Commonwealth record or is required to be retained by law.
We will hold Personal/Sensitive Information as either secure physical records or electronically on our computer servers.
We maintain appropriate physical, procedural and technical security for our offices and information storage facilities so as to prevent any loss, misuse, unauthorised access, disclosure, or modification of Personal/Sensitive Information. This also applies to the disposal of Personal/Sensitive Information.
We endeavour to protect the security of your Personal Information and your choices for its intended use. We store your Personal Information on a secure server in Australia and use procedures designed to protect the Personal Information we collect from unauthorised access, destruction, use, modification or disclosure. However, because of the nature of the internet, security of Personal Information cannot be guaranteed. All unencrypted information exchanged via the internet may be accessed and used by people other than for whom it is intended.
Where possible, all Personal Information which is no longer needed or required by law to be retained will be properly de-identified or destroyed.
- Disclosure of Information
Information will be used and disclosed for the purposes described in Section 3.2 above to the types of entities/service providers noted herein. The Foundation will not disclose Personal Information to other organisations unless it is permitted or required by law to do so (including in emergency situations or to assist law enforcement).
The Foundation uses a range of suppliers, service providers, contractors and partners to whom your Personal Information may be disclosed (including outside of Australia, see Section 3.5 below) to enable the activities and functions of The Foundation. These include information technology service providers, partners and applicable stakeholders, suppliers of relevant products and services, direct marketing service providers, data and data analytics service providers (including those which collect and assess your financial data such as your capacity to donate), banks, credit card companies, recruitment agencies, professional advisers and insurers.
We may disclose personal information between our partner organisations or to third parties such as our suppliers, organisations that provide us with technical and support services (such as Aland Developments Pty Limited), or our professional advisors, where permitted by the Privacy Act. If we disclose information to a third party, we generally require that the third party protect your information to the same extent that we do.
We may use or disclose information as specifically permitted by law.
We will not use or disclose your personal information for any other purpose unless you have consented to that use or disclosure.
- Disclosure of Information outside Australia
From time to time, we may engage third parties to provide services for the Foundation, and those third parties may be located outside of Australia. If we do, we may share Personal Information with those organisations situated outside of Australia and to the extent applicable in any given case, we will share that Personal Information in conformity with this Privacy Policy and the Privacy Laws.
- Access or corrections to your Personal Information
Reasonable steps are taken to ensure that Personal Information collected, held, used, disclosed, stored and handled is complete, accurate, relevant and up-to-date.
Access to, corrections or removal of Personal Information, may be requested by contacting the Foundation at info@alandfoundation.com.au and making such a request. Please allow us a time of up to 7 days to process such a request.
Requests will be responded to within a reasonable period of time unless it is unreasonable or impracticable to do so. Please allow at least 7 days for processing of a request. All reasonable steps to comply with a request will be made, unless there is a need to keep information for legal, auditing or internal risk management reasons.
- Online Donations
Donations made online via The Foundation’s websites are processed in real time using a secure payment gateway. Donations are processed in Australia in Australian Dollars. If there are any questions or concerns about making an online donation to The Foundation, please contact the Foundation at info@alandfoundation.com.au.
- Cookies
Our website may use ‘cookies’. A cookie is a small text file stored in your computer’s memory or on your hard disk for a pre-defined period of time. We use cookies to identify specific machines in order to collect aggregate information on how visitors are experiencing our website. This information will help to better adapt the website to suit personal requirements. While cookies allow a computer to be identified, they do not permit any reference to a specific individual. For information on cookie settings of your internet browser, please refer to your browser’s manual.

We may provide links on our website to websites operated by third parties. We do not control nor monitor these third-party websites. We do not make any representations about and cannot accept any liability for these websites operated by third parties. A link to a third-party website on this Website does not imply that we in any way endorse the content of that third-party website. Your access to third-party websites may be governed by their own terms. This Privacy Policy does not apply to external links or other websites. The Foundation is not responsible for any practices on linked websites that might breach your privacy.
- Privacy and data breaches
Please contact us at info@alandfoundation.com.au if you become aware of any breach of security. If reasonable grounds establish there has been a Personal Information security breach, we will comply with all our obligations and responsibilities under the relevant Privacy Laws, including any obligation to notify you of any security breach and take effective remedial action to protect your Personal Information.
- Making a complaint
Our Privacy Officer is responsible for investigating any complaints or concerns any person may have about protection of their privacy. Any ongoing concerns or problems identified concerning our privacy practices will be taken very seriously and steps will be undertaken to address these concerns. There are no fees for lodging a complaint.
To make a complaint, please contact The Foundation on info@alandfoundation.com.au and ask for the Privacy Officer. Please provide as much detail about the facts surrounding the complaint to allow satisfactory resolution and allow at least 7 days to respond to the complaint.
If The Foundation fails to resolve your complaint, the matter may be referred to the Australian Information (Privacy) Commissioner (please see www.oaic.gov.au).
